Polar Flow for coaches: your athlete's Polar sessions in your calendar
Updated:
The athlete trains with a Polar watch, and you as the coach want to see what they actually did - without asking for files and screenshots from Polar Flow. In EasyTrackly the athlete connects their Polar Flow account once, and every session synced from the watch after that reaches the calendar you see as a coach. This page explains exactly what comes in, what the athlete does, which consents are needed and where the limits of this integration are.
What flows where
From the Polar watch to EasyTrackly
The athlete syncs the watch with Polar Flow as usual. A session that reached Polar Flow arrives in the EasyTrackly calendar with the full data recorded by the watch: heart rate, pace, power, laps and the route, if the watch recorded them. The athlete uploads no files and clicks nothing for each session.
When a planned workout in the same sport is waiting on the same day or the day next to it, the app suggests matching the activity to the plan. Then you have the plan and the execution in one place in the calendar.
From EasyTrackly to the Polar watch
This direction does not exist today. Polar in EasyTrackly only imports sessions - a planned workout does not reach the Polar watch. The athlete sees the plan in the app calendar, in the browser or on the phone, and follows the description and steps you set there. If you want the watch to guide the athlete step by step, Garmin and Suunto watches support that today - the Workout on the watch page explains how.
Which sports
Sessions arrive in the calendar for the sports the athlete kept enabled in the import section of the Polar Flow card. The athlete can turn off import entirely or only for single disciplines. Turning a sport off stops importing new sessions of that discipline; what already arrived stays in the calendar.
What the coach sees
- The athlete's calendar with plan and execution side by side.
- The imported session with data from the watch: heart rate, pace, power, laps and the route, if the watch recorded them.
- A suggestion on the athlete's side to match the activity to the plan when a plan in the same sport waits on the same day or the day next to it.
Only the athlete has the integrations tab. The coach cannot connect a Polar account on the athlete's behalf - but sees in the athlete's calendar everything that came from Polar Flow.
What the athlete does
The connection is on the athlete's side and takes a few minutes.
- In the profile, on the integrations tab, they click connect on the Polar Flow card.
- They sign in on Polar's site and approve access.
- If the card says consents are required, they open their Polar account, accept the consents and come back to the app. Until the consents are accepted, Polar does not share any sessions.
- With the connection active, they choose which sports should arrive in the calendar.
The step-by-step guide is on the Polar page in the Help Center.
Limits and consents
- Only sessions after connecting. Polar shares only sessions uploaded to Polar Flow after the account was connected. Neither automatic import nor a manual sync fetches earlier history.
- Manual sync covers 30 days. The sync button on the Polar Flow card checks the last 30 days and fetches sessions missing from the calendar.
- Consents on Polar's side. Approving access is not enough - the athlete also has to accept the consents in their Polar account. The card in the app shows when they are missing.
- One Polar account, one EasyTrackly account. A Polar account can be connected to only one account in the app.
- Two watches, the same session twice. If the athlete has two accounts connected and the same session lands on both, it appears twice in the calendar - the app does not merge them.
Frequently asked questions
A session from the Polar watch is missing from the calendar. What should I check?
First the state of the athlete's Polar Flow card. Missing Polar consents or expired access stop the import - the athlete then accepts the consents or reconnects the account. Also check that the sport is enabled in the import settings and that the watch has synced with Polar Flow. A manual sync fetches missing sessions from the last 30 days. The full list of causes is on the Common sync problems page.
Will I see the athlete's sessions from before connecting?
No. Polar shares only sessions uploaded to Polar Flow after the account was connected, so the calendar starts on that day.
Can I send the plan to a Polar watch?
No. Polar in EasyTrackly only imports sessions. The athlete follows the plan from the app calendar, and the completed session comes back to you through Polar Flow.
What happens after disconnecting or when access expires?
When access expires or is revoked, the card asks the athlete to reconnect; the import settings and imported sessions stay. Disconnecting stops the import, and the data in the calendar stays. The How import works page explains import from every source.
Start with one athlete
Create a coach account, invite an athlete with a Polar watch and ask them to connect Polar Flow. Plan their week in the calendar, and after the first session you will see the execution next to the plan. If some of your athletes use Garmin, see the Garmin integration page too. Create a coach account.
